Privacy Policy

This page explains how Rome Luxury Cars handles personal data when someone enquires about, books, or takes delivery of a luxury or sports car, a chauffeur-driven service, a wedding car, or an airport delivery arranged through romeluxurycars.com. It applies to every visitor who contacts us by form, email, phone or WhatsApp, and to clients who go on to rent a car with us in Rome, under the EU General Data Protection Regulation and the Italian Privacy Code (Legislative Decree 196/2003).

Who controls the information you share with us?
Rome Luxury Cars, the brand operating romeluxurycars.com, is the controller for the personal data described in this policy. We serve clients renting luxury and sports cars, chauffeur-driven cars, wedding cars and airport delivery in Rome. For any privacy or booking question, write to [email protected].
What information do we gather, and where does it come from?
We gather information in a few ways, depending on how you reach out:
- Our enquiry and airport-delivery forms: name, email address, phone number if you give it, the car you're interested in if you choose one, pick-up and drop-off dates, flight number on the airport-delivery form, a free-text message, and the page you were on together with the site that referred you there.
- Direct contact: whatever you tell us by email, phone call or WhatsApp message when you reach out yourself.
- WhatsApp button clicks: before WhatsApp opens, we log the page you were on, the referring link, the site language and the prefilled message text in our booking system. The conversation that follows runs on WhatsApp itself.
- Server logs: IP address, date and time, page requested and browser type, kept briefly for security.
- Pick-up and drop-off details also let us match the right car to the route and plan the handover around Rome's ZTL restrictions from the start, whether that's a convertible for a Castelli Romani run or a GT collected at Fiumicino.
- Once a booking is confirmed, we also ask for driving-licence and identity-document details at handover, to verify the driver and comply with the obligations that apply to a vehicle rental business.
Why do we use this information, and on what legal basis?
- To reply to an enquiry and prepare a quote, as a pre-contractual step at your request.
- To confirm and manage a booking, including checking the driving licence and ID at handover, in performance of the rental contract.
- To keep server logs and protect our booking system against misuse, under our legitimate interest in keeping the service and our clients' data secure.
- To issue invoices and keep the accounting records Italian law requires, as a legal obligation.
We do not sell personal data, we do not use it to make automated decisions about you, and we do not send marketing emails unless you ask us to.
Who else sees this information?
- Our own team, reached through an internal messaging tool so we can reply to enquiries quickly.
- The chauffeur or driver assigned to a confirmed booking, who receives only what they need to carry out the service: your name, pick-up details and, where relevant, your flight number.
- Our hosting provider, which stores the website and the booking system.
- Google, which serves the web font used on the site and receives the visitor's IP address when the font loads.
- jsDelivr, the content delivery network that supplies the phone-number field used in our forms.
- WhatsApp, operated by Meta, if you choose to start a conversation through the WhatsApp button; that conversation is governed by WhatsApp's own privacy policy, not this page.
Does any of this leave Italy or the European Union?
We don't transfer booking or contact data abroad ourselves. Loading the Google Fonts and jsDelivr resources used on the site can involve a request being routed outside the European Economic Area; each of those providers is responsible for applying appropriate safeguards under its own policy when that happens.
How long do we keep it?
- Enquiries that don't turn into a booking are deleted after 36 months.
- Booking records, including the licence and ID details checked at handover, are kept for as long as Italian tax and accounting law requires.
- Server logs are kept for a short period, solely for security purposes.
How is this information kept secure, and what don't we do with it?
Access to our booking system and internal messaging is limited to our own team, and the website is served by a hosting provider on standard infrastructure safeguards. No cookies are set by the site itself; one local-storage entry simply remembers that you closed the cookie notice, and one session-storage entry remembers which car you clicked so the enquiry form can be prefilled, deleted when you close the tab or send the form. Neither stores contact details. We don't install analytics, advertising or social-media tracking, we don't sell personal data, and we don't use it for automated decision-making.
What rights do you have, and how do you use them?
You can ask us to access, correct, delete or restrict the personal data we hold about you, to receive a copy in a portable format, or to object to how we use it. Send your request to [email protected]; we may ask you to confirm your identity before acting on it, and we reply within one month.
If you believe your data has been handled incorrectly, you can also lodge a complaint with the Garante per la protezione dei dati personali at www.garanteprivacy.it.
Can children use this site?
Our services are aimed at adults old enough to legally hire and drive a car, or to book a chauffeur-driven service. We don't knowingly collect personal data from minors, and we delete it if we discover we have.
Could this policy change?
We may update this page as our services or the forms on the site evolve. The version published on romeluxurycars.com is always the current one, and the date it last changed is reflected in the content itself.
